Cancellations & Refund Policies

What to Expect:

  • No experience is necessary to participate in Outdoor Adventure trips, we design our trips for any level of abilities from beginners to experts. Previous swimming experience is recommended for water trips such as canoeing and standup paddleboarding, but is required for whitewater kayaking.
  • All participants must attend a mandatory pre-trip meeting (when applicable). For more technical trips, skills clinics may be required prior to the trip, for no additional charge.
  • All equipment will be provided for you; personal equipment may be used if approved by the  trip leader.
  • Transportation will be provided for you, unless stated otherwise.
  • Food is provided on all day and overnight trips, any allergies/dietary restrictions can be accommodated and should be communicated with the trip leader.
  • Alcohol, tobacco, and drug use are prohibited for the duration of the trip. Participants who violate these rules are subject to removal from the trip and transportation back to Duke will be at the participant’s expense.

Trip Cancellation Policies

Outdoor Programs reserves the right to cancel a program due to inclement weather, natural disasters, or extenuating circumstances. In the event a trip must be cancelled, a full trip refund will be provided.

Refunds

A refund may be given if the following conditions are met:

  • DAY TRIP: Cancellation happens 5 business days or more before pre-trip meeting date.
  • OVERNIGHT TRIP: Cancellation happens 10 business days or more before pre-trip meeting.

AND

  • The participant’s empty spot is filled by another paid participant, prior to the pre-trip meeting.

Outdoor Adventures reserves the rights to not issue a refund at the discretion of program administrators.

Cancellations & Refund Policy and Procedure

Outdoor Programs reserves the right to cancel a program due to inclement weather, natural disasters, or extenuating circumstances. In the event a trip must be cancelled, a full trip refund will be provided. This was agreed to on the Trip Agreement Form.

Day Trips

Should a participant cancel more than 5 business days or more from the trip departure date, 100% of the trip cost will be refunded or s/he can transfer funds to one or more trips within the same semester. If the fee for the later trip is more than the original fee, s/he will owe the difference. If the fee is less for the later trip, s/he forfeits the difference.

Any trip canceled by the participant within 4 business days will not receive a refund and is ineligible for trip transfers.

Overnight Trips

If a participant must cancel an overnight trip, 10 business days are required before the trip departure date. Up to 50% of the registration fee may be refunded if the cancellation occurs more than 10 business days prior to the trip departure date. Participants may transfer registration to another eligible candidate so long as: a) this transfer occurs more than 10 days prior to the trip departure date, b) the Trip Leaders are made fully aware of the situation and contact information of the new registrant and c) all monetary reimbursement is handled between the transferring registrant and the transferee; Outdoor Adventures is in no way responsible for ensuring or enforcing monetary reimbursement between a transfer/transferee.

Any trip canceled by the participant within 10 business days will not receive a refund and is ineligible for trip transfers.
